Overview.
London Marathon Events.
London Marathon Events (LME) organizes the TCS Mini London Marathon annually to realize a vision to inspire activity and make sport accessible to all ages, abilities and demographics.
Problem Statement.
With more than 500,000 children participating in In-School events last year, there's a desire to further boost participation and promote active, healthy living. However, the current form event registration system falls short. It lacks the ability to foster continuous engagement, monitor preparation for the in-school event, and accurately track in-school participation. To overcome these limitations, LME wants a more comprehensive and interactive registration platform is essential.
Sprint goal.
Improve student registration process for the in-school mini marathon events.
By improving the school’s event registration process, teachers can better allocate time towards organizing and actively engaging their students.
What?
A new school portal forum that enables schools to effortlessly enroll students in marathon events and seamlessly communicate in-house events within their school network.
Who?
For Schools and teachers/ event organizers in charge that register their students and school in the LME marathons.
Why?
After hospital discharge the waiting and reassessment periods physiotherapy treatments can go beyond 3 months, reducing the potential for the best recovery scenario for the individual.
Feature
Highlights.
According to LME, the solution must integrate some features from the teacher's perspective such as: containing all the information for all kids’ events so that they can sign up their participants; applying for X number of places per event; Entering children’s names; register adults coming along; Message us with questions; FAQs
The team decided to create a school portal where the school teachers and event organizers could have an easier registration process.
School portal
Each school that has filled out the first form will be given an ID and password which the school event organizers/ teacher will have access to. Once the user enters the portal, he will be faced with a dashboard where he has access to their school profile, race events, their registration, the wider school community, and help/resources in case they have any doubt.
Student Registration Area.
Upon entering the portal, users can view the number of students they still need to register to meet their school's goals. Upon proceeding to registration, users can view detailed data on the number of students registered by gender, wheelchair users, and other filtered options of their choice.
School Community.
Users can explore the school community section to connect with other participating schools, allowing organizers to view preparations and school events.

Understanding
the Client.
London Marathon Events (LME) is a multifaceted social
impact company with a vision to inspire activity and
make sport accessible to all ages, abilities, and
demographics. London Marathon Events organizes the TCS London Marathon and mass participation running, cycling and swimming events.
The Mini London Marathon.
TCS Mini London Marathon is a mass participation event that provides children and young people from reception to Year 12 the chance to cross the iconic TCS London Marathon finish line. There are two distances:
- one-mile route for children in Reception to Year 7;
- 2.6km for children in Years 6 to 12;
Young Athletes Race is the official British Athletics 2.6k road championships for young athletes aged between 11 and 17 from the nine regions of England, Scotland, Northern Ireland, and Wales, and teams from all 33 London Boroughs.

Alongside this London event, there are in-school events where school children could run, jog, walk, or wheel one mile in schools across the UK.
LME Goals for the 2023 Mini Marathon event:
- Increase the number of registered school participants on the event day ( 14,000 registrations, but we expect 10,000 to show up on the day).
• Continue to engage schools across the UK to organize In-School Mini Marathon Events (grow from 500k in 2023 to over 600k in 2024).
• Increase the diversity of participants from the London boroughs.
• Increase the number of Wheelchair and Ambulant athletes.
LME Challenge
How might we increase the registration and engagement from schools across the UK to participate in the Mini Marathon race, and various In-school events?
Understanding
the Problem.
According to LME, more than 500,000 children participated in In-School events last year, and there's a desire to further boost participation and promote active, healthy living. However, the current form of event registration system lacks the ability to monitor preparation for the in-school event, and accurately track in-school participation. To overcome these limitations, LME wants a more comprehensive and interactive registration platform.
Unflexible Registration process.
The current form of the event registration system is through the website which the school teachers/event organizers must fill out to register their school. This solution lacks the ability to monitor preparation for the in-school event and accurately track in-school participation. To overcome these limitations, LME wants a more comprehensive and interactive registration platform is essential.
Mass participation drop out.
In 2022, some schools entered very large groups and then did not attend or notify LME that they were unable to attend; In 2023, all places have already been allocated and no additional space is available for interested students.
School Donations.
For every participant aged 17 or under who finishes the Mini London Marathon, our title partner TCS will donate £10 to their school to spend on PE or IT equipment. So, the more children who take part and get active, the more money your school will raise.
User
Stories.
LME gave the team a briefing package with user stories from three different perspectives: the students, the school teacher, and the event organizer. The team decided to that into account the school teachers' and event organizers' perspectives.
Future
Improvements.
Redesign registration feature to allow multiple registrations.
Currently, the registration feature only allows individual student registration. However, based on client feedback, school teachers and event organizers need the ability to register multiple students at once, even hundreds at a time.
Develop a student side portal
The client had expressed their desire to increase student engagement before the event days by using gamification. Additionally, the team had planned on creating a forum for students to keep track of their progress and compare their results with other schools.
User Testing.
Due to the time constraint for this challenge, there was no time to conduct user testing. The teams nest next would be to test the registration task flow and current features
Develop the visual design
After conducting user testing, the next step is to create a cohesive solution that aligns with their brand guidelines and visual design system.
